Reporting on selected/specific repeatable entries

Hi,

Within one building there can be multiple tenancies. We want to utilise repeatable functionality so an inspector can open one record (the building) and then completed as many tenancy inspections as and when required using the repeatable functionality. As things stand, PDF reports can only be generated at the building record level and would then include all tenancy inspections. However, we require the tenancy inspections to be reported separately and as individual PDFs, so that each can be attached to its respective tenancy object in our asset management database.

Are there any plans to allow this level of granularity when it comes to reporting and if so, is there an ETA?

I can see two other possible solutions, but from what I can see, the required functionality is not present in Fulcrum or there's a catch/inefficiency with the data collection.

Idea #1: Tenancy inspection form has choice list presenting all buildings for inspector to select from. The issue is when they discover an unrecorded/previously unknown building (the choice list is then incomplete). They could add an "Other" value, but we also require additional information to then be collected on the building (ideally in a separate form). If there are multiple tenancies in the building, they'd essentially be adding the same "Other" value and associated attributes every time which is inefficient and will lead to discrepancies. We want to be able to relate multiple tenancy records back to the same building record.

Idea #2: The alternative option is to have two apps, one with just building records (that allows just one new entry per new building to be added) and then another that allows separate tenancy records. If the functionality was available, the record title from the building app could then dynamically update or appear in a choice list of building names that is presented in the tenancy inspection form.

Do you have any thoughts on how we can tackle the situation discussed above please and/or have any updates (including estimated delivery time) on forth-coming functionality that will assist solving it?

    I would like to add that keeping the building and tenancy records together in one app is the most desirable solution, as having access to the building's location and other properties from within the same record will be most convenient for the inspector.

    I thought that perhaps we could generate a report using the API as per http://support.fulcrumapp.com/discussions/questions/3424-external-r..., substituting in the fulcrum_id for a specific child record rather than the parent. Sadly it didn't work (works for parent records, just not children).

    Now that I have a script that can dynamically generate reports, perhaps it's possible for a tweak at your end to allow children records to be generated using the same call, unless of course child records are stored in the database considerably differently?

    Not sure if this ticket slipped through the cracks last week or if it's being given more consideration in the meantime, but to update you on what we're going with for now, we're planning on using two apps so we can keep building information and tenancy inspection data separate and have the ability to generate separate reports for each tenancy. The only issue we see at present with this approach is where new buildings are found on a site and they get added to the building information app and then one or more tenancy records get added in the tenancy inspection app - there'll be no parent/child relationship to enhance data integrity and it will require some back office updating of Fulcrum records to establish links after the fact. We'll need to maintain a choice or classification list of buildings with specific IDs in it for use in the tenancy inspection app, so we can relate tenancies to buildings.

    If you are able to update us on the issue raised in this ticket, it would be appreciated.

    Hello James,

    At this time we have no plans on adding this functionality. The report generator can not generate single child reports from a single record. So there is no way to generate a report at the child record level. With a custom report we could manipulate the report so that each child record is on it's own page. However, you would still be generating the report for the entire record.

    We have had internal discussions about creating a true relationship between apps. Where repeatable sections would be taken to the next level and you could embed a app into another. I will share you feedback with the development team that you are interested in this sort of functionality.

    The new record linking functionality will allow you to link records between apps and allow you to print a report of a single 'child' record.
